Summary Description

Assists management in providing coordination for day-to-day departmental operations for the Health Information Management (HIM) department. Delegates responsibilities and coordinates work assignments as necessary. Assists with reviewing and monitoring resource utilization and recommends appropriate scheduling adjustments. Provides interpretation of department policies, as needed. Serves as a department representative or liaison with patients, other hospital departments and community agencies, as needed. Investigates/resolves complex and/or sensitive problems, as needed. Functions as a resource person or Subject Matter Expert for the HIM staff.

Responsible for managing daily Rapid Response cases assigned to HIM Operations. In addition, follows on all outstanding Discharged Not Final Coded (DNFC) cases holding for HIM Operations-related reasons, and provides reports of status on weekly calls with hospital CFO and DRA.

Able to perform the functions of Health Info Tech I, II, and III positions, including the following: processing of patient medical information including retrieval, prepping, scanning, and routing of electronic or paper documents; analysis of electronic medical records for chart completion and assisting physicians with medical information; coordination and completion/filing of certificates of live birth, death, paternity agreements, and other associated documentation in accordance with state public health rules and regulations. May perform clerical tasks and other related duties as required to meet the needs of the HIM department.

Responsible for document imaging equipment maintenance prior to use and maintains equipment cleaning log as required. Generates help desk ticket when needed. Assists physicians with the completion of deficient medical record information. Facilitates data integrity of any and all medical record documents necessary to complete upload to document imaging system. Compiles, updates, and reports physician record completion statistics and physician notification letters. Prepares physician list and handles the suspension process. Serves as an information resource by responding to requests for general and medical record information received via phone, e-mail, fax, or in person. Handles records retrieved from off-site storage (retrieved and returned).



Qualifications:

Minimum Qualifications

1. Associate’s degree in Health Information Management or related field, or the equivalent combination of education and/or experience.

2. Two years of experience working in a Medical Records department.

3. Basic Windows-based computer experience required.

4. Experience with electronic medical records.

Skills Required

1. Analytical ability to review and assess deficiencies in medical record information, to discern compliance with hospital and state requirements, to gather and interpret data, to identify discrepancies, problems or issues, to obtain advice when precedents are unclear or unavailable and to determine methods for ensuring compliance with functional/organizational/service policies and procedures.

2. Communication and/or interpersonal skills for contact with internal and external customers/stakeholders to discuss and interpret technical information and facility or function policy. Some discretion must be exercised in deciding what and how to communicate. Conflict resolution skills are exercised within the unit or function and occasionally on an interdepartmental or inter-functional basis. Diplomacy, tact and listening skills are required. Ability to read and comprehend policies and interpret technical materials in the specialty area is necessary.

3. Leadership skills including demonstrated willingness to pursue leadership roles with increasing levels of accountability comfort with decision-making responsibilities, coaching, teaching and counseling skills, and the ability to inspire and build confidence in others and to forge alliances and garner support.

4. Ability to navigate and utilize basic computer software applications.

5. Ability to perform basic clerical duties that include operating standard office equipment including fax machine, photocopier, microfiche, telephone, etc.

6. High degree of tact and patience for personal interaction with new parents.

7. Constant attention to detail to ensure medical record accuracy and completeness.
