The UKG Pro WFM Scheduling & Clinical Scheduling Extensions Analyst plays a critical role in the configuration, optimization, and ongoing support of the UKG Pro Workforce Management (WFM) scheduling system. This position is responsible for ensuring accurate and efficient scheduling and staffing practices, system functionality, and user support across the organization. The analyst partners with HR, operations, and IT to implement scheduling strategies that support labor cost control, compliance, and operational effectiveness.
Key Responsibilities:
- Configure, maintain, and optimize UKG Pro WFM Scheduling and Clinical Scheduling Extensions modules, including advanced scheduling rules, shift templates, patterns, labor allocation, and patient guidelines.
- Partner with field operations to identify opportunities for improvements in staffing that drive better patient outcomes, staff satisfaction and fiscal responsibility.
- Ensure compliance with staff-to-patient ratios, labor laws, and healthcare regulations.
- Provide support to end users, including troubleshooting issues, conducting root cause analysis, and ensuring timely resolution.
- Collaborate with HR, payroll, operations, and IT teams to align scheduling capabilities with business processes and policies.
- Monitor and ensure data accuracy, including schedule adherence, timecard exceptions, and system integrations.
- Utilize predictive analytics to forecast staffing needs based on patient workload.
- Assist with system upgrades, patches, and new feature rollouts, including testing and documentation.
- Assist training resources in developing and maintaining user guides, job aids, and training materials; conduct training sessions as needed.
- Participate in workforce analytics and reporting initiatives, providing scheduling-related data to support operational decisions.
- Analyze scheduling, time and attendance data to identify trends, gaps, and areas for operational improvement.
- Ensure compliance with labor laws, union rules, and organizational policies related to scheduling and patient acuity & assignment.
Requirements:
- Bachelor’s degree in Human Resources, Business Administration, Information Systems, or related field, or equivalent experience.
- 3+ years of experience with UKG Pro WFM (formerly Kronos Workforce Dimensions or UltiPro), with a focus on scheduling.
- Must be able to travel up to 20%.
- Strong understanding of scheduling best practices, workforce planning, and labor compliance.
- Experience configuring scheduling rules, labor groups, locations, and organizational hierarchies in UKG.
- Analytical mindset with ability to interpret and validate large datasets.
- Strong communication and collaboration skills with both technical and non-technical stakeholders.
- Proficiency in Microsoft Excel and reporting tools.
Preferences:
- Knowledge of healthcare workforce management, facility operational process and compliance regulations.
- Familiarity with UKG Advanced Scheduler, Attendance, and Accruals modules.
- Project management or system implementation experience.
- UKG Pro WFM certification(s)
Compensation:
- Pay: $73,632-$105,000 annually. Compensation depends on location, qualifications, and experience.
- Management level positions may be eligible for sign-on and relocation bonuses.
