JOB SUMMARY

Responsible for all reception and guest relations support in a business office. Responsible for assisting the office in the daily business activities, handling sensitive and confidential information in a professional manner and interaction with clients, vendors and other guests. In addition, the position is responsible for administrative support operational teams when assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Include the following. Others may be assigned.

  • Monitors, admits and greets all guests and deliveries to Conifer in professional manner and ensures hand-off of visitors and packages to appropriate team member.
  • Answers telephone including main office line and executive lines directing to appropriate person. Opens and distributes general office mail. Prepares nightly package preparation and delivery to service provider
  • Types, photocopies, distributes and files outgoing correspondence and mail backs, as directed by Operations team. Prepare, send, and obtain signed letter of understanding (LOU) agreements as needed
  • Manages leaders’ schedules, travel, and expense reports. Manages conference rooms and guest office reservations. Manages logistics for in-person meetings.
  • Prepare agendas and board packets, documents and manage customer service incidents and action logs, close out action items, and transcribe minutes.
  • Perform provider network roster validation as needed. Submit and track provider network data changes/updates as appropriate.
  • Coordinates office maintenance, liaison with building management, and coordinates small office improvement projects.
  • Other duties/tasks as assigned

  • Excellent interpersonal skills

  • Strong organizational and multi-tasking skills
  • Must be self starting, able to work independently and is detail oriented
  • Ability to type 40 words per minute
  • Ability to interact effectively with all levels of staff and management is essential
  • Ability to maintain strict confidentiality is required
  • Intermediate MS Office required (Outlook, Excel, Word, PowerPoint)
  • Knowledge of scheduling calendar invites across time zones and multiple calendars
  • Ability to work in a fast paced environment
  • Ability to make sound decisions with limited supervision

EDUCATION / EXPERIENCE

Include minimum education, technical training, and/or experience preferred to perform the job.

  • High School Diploma or GED equivalent, Associates Degree or higher preferred
  • 5+ years administrative assistance or/and general office experience
  • Experience in medical front office role, highly preferred
  • Prior healthcare administration background beneficial

Compensation and Benefit Information

Compensation

  • Pay: $16.20 - $25.80 per hour.
  • Shift differentials of $1.00-$2.50/per hour may be available depending on the shift worked.
  • Conifer observed holidays receive time and a half.
