The Senior Human Resource Generalist performs diversified human resource functions. This position is responsible for the employment process by ensuring that every new employee has an accurate and complete personnel file containing all regulatory and facility required documentation. The Senior Human Resource Generalist completes the day-to-day functions by completing employment offers for each new hire and other activities related to compensation, recruiting, reporting and other areas of Human Resources. This position takes complete responsibility for all facets of Human Resources by ensuring that all customers’ needs are fulfilled. This position works collaboratively with the Director and Manager of HR on special projects and assignments that are requested by corporate HR and the Administrative Team.

1. Coordinates the overall new hire process.

· Ensures the receipt of a completed/signed application, as well as other required documentation, prior to the employee’s start date.

· Extends offers to qualified applicants as directed by hiring manager and/or HR supervisory staff. Prepares and presents offer letter based on data provided by the department head and internal compensation guidelines.

· Appropriately moves applicants through the hiring process in the applicant tracking system, Taleo.

· Distributes to the Education Department and Department Heads a list of new hires scheduled to attend a given Orientation program by Noon on the preceding Friday.

· Coordinates all paperwork for relocation, sign-on bonuses, participation agreements and promissory notes as applicable.

· Attends Orientation to distribute ID badges and ensure all applicants who have cleared are in attendance. Updates New Hire Log appropriately.

· Consults with Human Resources Manager or Director on any irregular or questionable results from health or background screening.

· Submits background checks daily and follows up to ensure timely receipt of results.

· Issues ID badges and coordinates facility access with security.

 

 

2. Ensures the accuracy and timely completion of new hire and termination Personnel Change Notices (PCNs).

Delray Medical Center SR. HUMAN RESOURCES GENERALIST

· Extends formal employment offers to selected candidates, completes PCNs as appropriate, and notifies Payroll in a timely manner.

· Review paperwork for all employees who separate from the facility, ensures that they do not need to repay sign on bonuses, education participation, and retention bonuses

· Send out 90 day welcome cards to all new hires.

 

3. Issues reports as follows.

· Creates Staffing Report with Recruiter and provides to HR Director for A-Team meeting.

· Generates I-9 Report monthly and distributes to Directors via e-mail. Issues notice letters to employees when applicable.

· Generates 90-day Initial Evaluation Due Report monthly and sends to Directors and Administration.

· Prepares additional reports as requested.

 

4. Demonstrates knowledge of Department and Facility policies and procedures, communicates and enforces them, and ensures they are carried out consistently and fairly.

· Assists employees in a prompt and courteous manner

· Demonstrates sound knowledge of the correct use of all pertinent forms and procedures required in the day-to-day operations of the department.

· Participates in achievement of departmental goals and objectives.

· Is cross-trained in functions carried out by other staff and provides assistance as requested.

· Handles a large volume of telephone inquiries in a professional and courteous manner.

· Ensures that phone calls are answered promptly and messages are relayed to appropriate individuals in a timely manner.

 

5. Performs routine duties in an independent manner with little need for direct supervision.

· Appropriately reports any suggestions for positive changes, future needs or recommendations to supervisor.

· Willingly accepts additional responsibilities/offers assistance to complete job assignments.

· Continually strives to make the best use of time during the assigned shift through careful coordination of daily tasks. Uses time between work assignments to departmental advantage.

· Demonstrates willingness to adjust work schedule according to departmental needs.

· Meets deadlines and consistently avoids pressure and anxiety by keeping up with assigned work load and seeking assistance when necessary.

 

6. Participates in the communication and support of benefits plans.

· Directs employees with benefits questions/concerns to My Benefits hotline.

· Participates in the coordination and communication of benefits plans during Open Enrollment.

· Ensures 401(k), ESPP, Credit Union, CashPlus forms, and other benefits forms are sent to Payroll in a timely fashion.

· Administers Tuition Reimbursement program by processing forms appropriately and logging payments in the system for record-keeping.

· Administers Loan Repayment program by faxing completed applications to Student Loan Corp. Activates employees who have been approved and transmits fax approval notice to Payroll. Notifies employee once participation is approved.

· Updates the Loan Repayment Participants list when an employee becomes ineligible.

· Notifies Payroll via e-mail of any changes in an employee’s status that affects eligibility.

· Processes and approves leave of absence requests according to Federal and Corporate guidelines, generates and sends appropriate correspondence, and ensures accurate and timely data entry in the HRMS system.

· Notifies Payroll of any leave of absence status changes.

· Coordinates leave of absence returns to work with Employee Health department.

 

7. Complies with all policies and procedures that pertain to HIPAA including the minimum necessary requirements for this position.

· As part of the requirements for this position, the employee has limited access to PHI for the purpose of administering leaves of absence and reviewing disciplinary actions.

· The employee will limit the PHI disclosed or requested to the amount reasonably necessary to achieve the purpose of the request.

· Criteria established to limit the PHI disclosures/ requests to that which is reasonably necessary includes:

§ New hire education on HIPAA requirements via Internet training, as well as yearly re-orientation, distribution and signed acknowledgement of the Confidentiality Policy.

§ Sending information that is required to meet the criteria established by JCAHO, ACHA, and other healthcare regulatory agencies.

 

8. Understands individual role in the HICS Structure.

§ Has knowledge of the Emergency Code System.

§ Demonstrates/ verbalizes required responses to the Emergency Code system

§ Accepts/participates on assigned Team for Hurricane (Code White) response.

Qualifications

EDUCATION:

Minimum: Bachelor’s Degree, Professional School or equivalent experience

Preferred: Master’s Degree

 

EXPERIENCE:

Minimum: Three (3) years of Human Resources experience

Preferred: Five (5) years or more of Human Resources experience, including 3 years of HR Generalist experience and minimum of 1 year of recruitment experience.

 

REQUIRED CERTIFICATION/LICENSURE/REGISTRATION: None required

 

OTHER QUALIFICATIONS: Ability to effectively interface with all levels of employees.
