Responsibilities:
  • Serves as the central point of contact for assigned areas of responsibility; may perform duties of lower-level Buyers as required.
  • Receives and reviews requests for purchase orders routed to the Material Management Department or the customer’s procurement system.
  • Receives and reviews purchase requisitions for completeness, contract compliance and conformity to policy and procedures.
  • Enters manual or hardcopy order requests into appropriate ERP system options to create purchase orders.
  • Processes electronic requisitions or inventory control recommended reorders to create purchase orders. 
  • Communicates with vendors regarding purchasing supplies, equipment and service contracts in accordance with customer policies and procedures in order to ensure accuracy of product, price, and delivery terms.
  • Moves orders to appropriate contracted suppliers when conversions to new products have been approved by the Regional Resource Groups, local Product Conversion Committee, and department users to meet all compliance goals.
  • Routes orders accordingly for medical supplies, expedite open orders, facilitates product substitutions on back ordered products and verifies pricing against contractual agreements. 
  • Processes and track of bill only/consignment orders.
  • Responds to end-user requests and confirmation of emergency orders.
  • Assists other departments or clients departments on opportunities to improve product content and cross referencing. Supports product return process by obtaining appropriate documentation from vendor.
  • Works with supplier to understand and coordinate any site preparation required for equipment installation; to schedule delivery around any electrical, biomedical or other utility requirements for equipment installation; and to resolve quality issues; troubleshoots problems identified by departments and works with supplier to resolve.
  • Works with supplier and hospital departments (including nurses and physicians) to coordinate acceptance testing; reports results to supplier and follows up on open issues until resolved and equipment is functioning according to specification. 
  • Investigates pricing and back order issues with customers and suppliers for resolution. 
  • Coordinates processing of equipment repairs and obtaining loaner equipment as needed, or requested 
  • Supervises the recruitment, hiring, job assignments, and training of all employees. 
  • Develops short-term and long-term goals for the department in consultation with Chief Financial Officer and consistent with the institution’s philosophy, mission and values. 
  • Ensures the timeliness of employee competencies and performance appraisals
  • Follows through on issues without the need for follow up by senior management
  • Demonstrates professionalism and maintains a calm demeanor during stressful situations. 
  • Maintains an accurate storeroom inventory system. 
  • Ensures that supplies are daily and regularly checked and restocked to maintain adequate supply levels on patient care units.

Qualifications

Minimum:

  • Bachelor’s degree preferred
  • Minimum 2 to 4 years relevant experience in a supervisor role
  • Minimum of two years in the hospital purchasing/materials management area preferred
  • Ability to apply job knowledge, principles and technical skills in departmental operations. 
  • Understanding of all phases of CSR Management

Position Summary

The Supply Chain Director is responsible for the management of all aspects of the materials management program. Responsibilities include the procurement, storage, distribution, and efficient utilization of hospital supplies and equipment. Responsible for assuring that all supplies are properly accounted for, and that lost revenue from patient charge items will be minimize.
