Job Summary
This position is located in Dallas, TX. The Executive Assistant plays a key role in supporting the executive team and ensuring the smooth operation of administrative functions. As an Executive Assistant, you will provide high-level administrative support, assist with project management, and contribute to the overall efficiency and effectiveness of the department. Your attention to detail, organizational skills, and ability to handle confidential information will be critical in this role.
Responsibilities

- Support for Sr. Executive/SVP at the corporate offices.
- Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and making travel arrangements.
- Prepare and distribute correspondence, reports, and create slide presentations, ensuring accuracy and adherence to organizational standards.
- Coordinate and facilitate departmental meetings and events, including preparing agendas, taking minutes, and following up on action items.
- Assist with project management activities, including research, data analysis, and preparation of project documentation.
- Maintain confidential files and records, exercising discretion and professionalism in handling sensitive information.
- Conduct research, compile data, and prepare reports to support decision-making and strategic planning.
- Assist with budget management and expense tracking, ensuring adherence to financial guidelines and reporting requirements.
- Coordinate and oversee administrative processes, such as document management, record-keeping, and supply inventory.
- Serve as a liaison between the executive team, departmental staff, and external stakeholders, maintaining effective communication and collaboration.
- Support the implementation of administrative policies, procedures, and initiatives, ensuring compliance and continuous improvement.
Requirements:
- Bachelor’s degree in business administration, Healthcare Administration, or a related field highly desired. High school diploma/GED required.
- 7-10 years or more experience of working with C-Suite executives daily.
- Proven experience in providing administrative support at an executive or senior management level.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong attention to detail and accuracy in all aspects of work.
- Exceptional communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.
- Advanced skills in Microsoft Office: Word, Excel, PowerPoint, Outlook, TEAMS.
- Ability to handle confidential information with discretion and maintain a high level of professionalism and integrity.
- Strong problem-solving skills and the ability to think critically, proactively, critical, and strategic thinking.
- Ability to work independently and collaboratively in a team environment, demonstrating flexibility and adaptability.
- Familiarity with healthcare industry regulations and compliance standards is a plus.
