Tenet Healthcare seeks an Executive Recruiting Specialist to provide general administrative support to the Executive Search and Corporate Recruiting teams. This is an in-office role located in our corporate HQ in the Addison area. Duties will include but are not limited to:

  • Responsible for Outlook scheduling of complex, multi-participant, multi time zone phone, video and/or in-person corporate/executive interviews and partnering with local executive assistants across the Tenet network to establish availability for interviews
  • Serve as point of contact for corporate/executive recruiting function; field and direct inquiries as applicable
  • Post requisitions for corporate/executive recruiting function
  • Initiate drug/background screens for corporate/executive recruiting function and work with HRCS vendor manager to address any issues with process/results
  • Maintain (or update as required) and distribute all related pre-, on- and post- boarding communications for both new hires and hiring managers
  • Support facility HR team with managing on-boarding initiatives as identified and assigned by manager (e.g., assisting with day-one orientation activities like I9, tours, etc., assist in the development of facility-wide monthly orientation, including overview of EEC, workplace protocols, wellness participation, etc., logistics with key stakeholders, greeting/directing attendees as needed, etc.)
  • Proactively communicate suggested changes and help HRCS maintain (or update as required) the contents of New Hire paperwork to support a consistent brand, and assist HRCS in the distribution/collection of offer letters, New Hire paperwork, and when applicable, submit information to HRCS mailbox for Personnel Change Notice (PCN) to be created
  • Assist in the creation, development and maintenance of corporate Leader SharePoint site which will include human resource management processes and tools. Information will be organized consistently on site so leaders can quickly obtain an overview of the process, roles & responsibilities, process steps/map, best practices, templates, and actual examples when applicable.

In addition, as part of overall development plan, it will be expected that the Recruiting Specialist develops skills across the entire Talent Acquisition function, therefore duties may also include the following:

  • Support candidate sourcing efforts; explore social networking forums
  • Learn and develop a strong proficiency of all software applications including, Oracle/ORC, EID requests procedures, Microsoft Office suite, and assisting with updates to the Executive Search database
  • Support facility HR with special projects related to improving pre-, on-, and post boarding processes to improve retention
  • Serve as ambassador of Tenet while hosting executive level candidates during onsite interviews at the home office
  • Other projects/duties as assigned

Qualifications

  • 2-3 years experience in HR related function/admin assistant, recruiting administration preferred.
  • High school diploma/GED required; Bachelor's degree preferred.
  • HR onboarding experience preferred.
  • Exceptional customer service skills and a must be a team player. Must be able to work in a fast-paced, self-managed environment.
  • Excellent communications and professional presentation skills
  • Organizational and prioritization skills, including good follow through on projects and tasks. Must be meticulous to detail.
  • Proficient knowledge of MS Office applications including Word, Excel and Outlook required.
  • Ability to effectively and efficiently multi-task and demonstrate a sense of urgency
  • The ability to communicate with all levels of management, work with detailed information, maintain confidentiality and exhibit competence and good quality judgment are essential to be successful in this position.
  • Knowledgeable about IT/computers.
  • Experience with multi-site, multi-leader, complex interview scheduling, and booking travel for candidates, inclusive of itinerary development
  • Must be polished and possess the ability to speak to executive level.
