Job Summary
Shift: 8HR Days
Job type: Full Time
Hours: Monday through Friday 8:00am to 4:30pm (some need to adjust hours 1x per month to accommodate governing board at 5 pm> )
Position Summary / Specifications:
Providing administrative/secretarial support to the hospital CEO, CNO and COO, this position frequently prepares written materials for the CEO, CNO and COO, and may act on his/her behalf with prior delegated authority. Consistent, continuous coverage of all aspects of the CEO, CNO and COO needs (meeting arrangements, telephone, and activity coordination), with sensitivity to highly confidential correspondence and communication is required.
Responsibilities
DEPARTMENT SPECIFIC DUTIES:
- Organize and expedite the flow of work through the office to make the most effective use of the executive officer’s time to include organizing files and correspondence to assure ready access to information. Ensures project follow-up.
- Attend board and other meetings, compose minutes; assemble, prepare and distribute materials for board and other meetings to provide all attending with appropriate information.
- Compose and/or type letters, meeting minutes, memoranda, presentations and related materials; assure routing materials/correspondence.
- Draft, proof, and send communications on behalf of company executives.
Qualifications
High School Graduate or equivalent
Previous hospital experience preferred
Excellent written and verbal communication skills
Effective Time-management skills
Strong organizational skills
Ability to multitask
Solid understanding of frequently used computer software and programs, such as Microsoft Office
Excellent interpersonal skills
Required:
- Prior executive secretarial experience
- One (1) year as an administrative secretary
- Ability to accurately type 60 wpm
