Position Summary:

Reporting to the Manager of Administrative Services, this position provides secretarial support to the Chief Nursing Officer and Chief Medical Officer, which includes handling all correspondence and mail, scheduling meetings, travel accommodations, preparing data and presentations for meetings, strong knowledge of Microsoft Office Suite (or current technology used by company) and performing other duties as assigned.

Position Accountabilities                    
1. Accountable for meeting the administrative and support needs of the Chief Nursing Officer. Prepares and/or transcribes all necessary correspondence as directed (i.e., forms, memos, letters, contracts, etc.), answering routine correspondence on own initiative.  Schedules meetings and notifies attendees as appropriate.  Maintains integrity of calendars and prompts CNO of meetings as necessary.  Schedules travel and other accommodations for meetings, seminars, workshops, etc., as requested and processes Expense Reports.  Attends meetings as assigned, writes minutes, sends notices, Xeroxes, collates information, gathers data from Press Ganey and organizes reports using Microsoft Word, Excel or PowerPoint (or current technology used by company) and other related duties as required for meetings.

3. Performs the following duties on an as needed basis:  Assists Manager of Administrative Services with projects as assigned.  Acts as back-up in the absence of Administrative support staff, answering phones, greeting public, scheduling meetings, tracking Physician Logs, schedule meetings in Meeting Room Manager upon request, etc.                      
4. Handles disposition of incoming mail.                    

5. Maintains integrity and security of records in the Administrative Office.  Recognizes and maintains confidentiality.                    

6. Demonstrates flexibility in the work schedule and completes work on time.                    

7. Answers Patient Satisfaction Line, directs call, assists caller and follows up on grievance within 7 days and ensures Complaint Log is up-to-date and follow-up letters mailed.                    

8. All other duties as assigned.                    

Qualifications

Minimum Education: Associate Degree or equivalent - Office Administration/Secretarial                
                        
Minimum Experience/Skills: 3 to 5 years preferred in a professional office setting, Proficient in Microsoft Word, PowerPoint and Excel                
                                               
License/Certificates/Credentials: None

Pay Range: $26.36 - $40.86 hourly **Individual wages are determined based upon a number of factors including, but not limited to, an individual’s qualifications and experience
