Position Summary:

Reporting to Director Patient Access/Clinic Director, the Clinical Support I Representative must be able to work independently as well as with resources of supervision and management. This position is responsible for the pre-registration of patients into the facility, including but not limited to the Clinic. The position is responsible for answering and distributing calls/messages, scheduling patients and verifying current patient demographics. The position has the responsibility to provide excellent service to patients, their families, physician office staff, hospital personnel and related outside agencies.

Position Accountabilities   
1. Accountable for maintaining professionalism in all verbal interactions with patients and/or family members.  Demonstrates knowledge of pediatric (1 to 12 years), adolescent (13 to 17 years), adult (18 to 70 years), and geriatric (71+ years) age-specific differences when communicating with patients and family, as evidenced by age-appropriate language, inflection, and volume.                         
2. Promotes customer service through active communication, understanding their needs and concerns, and providing resolution with tact, diplomacy and sensitivity.                        
3. Understands the operational flow of the patient administrative services team and their role as a member.                        
4. Screens the Master Patient Index for prior stay information or previously pre-registered visits and do not generate erroneous accounts.                        
7. Scans Patient Data into the Electronic Patient Record System including but not limited to Identification, Insurance Card(s) and Benefit Verification.                        
8. Insures patient understanding of Patient Rights and Responsibilities, Advanced Directives, HIPPA.                        
9. Utilizes downtime procedures.                        
10. Demonstrates the ability to make sound, productive, and ethical decisions in the performance of assigned duties.                        
11. Scans Patient Data into the Electronic Patient Record System including but not limited to Identification, Insurance Card(s) and Benefit Verification.                        
12. Answers and responds to all requests for information.                        
13. Processes daily Chart Deficiency/Work Flow assignments.  Locates, assembles and distributes materials necessary for Physician Chart Completion.  Makes appropriate entries in patient’s electronic chart.                        
14. Monitors and maintains departmental equipment.  Performs necessary daily maintenance on department equipment including scanners.                        
15. Answering telephones, directing/distributing calls, ensuring adheres to the AIDET requirements.                        
16. Ensuring Visitor/Vendor sign in tracking is complete, accurate and is retained per guidelines.                         
17. Referrals/Referred Patients – Fax Preliminary Report to Referring Physician, notify Referring Physician of Missed Appointment (No Call, No Show).                        
18. Utilizes positive verbal and non-verbal communication.  Develops and fosters professional relationships with co-workers, management, patients, physicians, and guests.                        
19. Keeps others informed by communicating pertinent information appropriately.                        
20. Obtains current demographic and financial information.                        
21. Copies insurance cards when appropriate.                          
22. Selects accurate payer codes and financial classes based on information received from the patient and verified via available online eligibility systems.                        
23. Follows established procedures for cash collections.                        
24. Coordinates immediate referral to Patient Financial Counselor for referral of cash patients with potential linkage to government programs.                        
25. Obtains signature on forms appropriate to type of registration.                        
26. Documents system (including but not limited to: Misys and FUS) with all information pertinent to the billing cycle of the account, properly using established activity codes.                        
27. Reviewing and Resolution of Billing Edit Reports.                        
28. Review and approve new patient referrals and obtains pertinent information for scheduling new patients.                        
29. Completes all patient forms including but not limited to State disability, FMLA, etc.                         
30. Other duties as assigned.                        

Qualifications

Minimum Education: High School diploma preferred.                
                        
Minimum Experience/Skills: 1 year in an acute care admitting/front office environment, urgent care, clinic, medical group, or physician’s office, medical terminology, excellent communication and organizational skills, 10-key, Keyboard/Typing – 35wpm, bilingual Preferred.

License/Certificates/Credentials: None

Pay Range: $23.00 - $24.73 **Individual wages are determined based upon a number of factors including, but not limited to, an individual’s qualifications and experience.
