Position Summary
The Executive Assistant assists the CEO, and CFO with day to day operations by performing a variety of confidential secretarial and executive duties. Maintains excellent organizational and communication skills in dealing with physicians, staff, patients and the public where assertive but tactful demeanor is required, maintains confidential files of correspondence and statistical reports and documents relative to the operations of hospital administration, prepares confidential correspondence with little or no direction, and coordinates, assists and attends when necessary, a variety of meetings, seminars and /or programs. Performs miscellaneous duties as assigned.

- Screens incoming calls, redirecting when necessary, greets and directs appropriately visitors visiting the Administrative office in an efficient and courteous manner, responds to complaints and problems from staff, physicians, and families in a tactful and timely manner,
- Coordinates all reports, correspondence and information required by CEO, and CFO in a timely and accurate manner, handles typing and dictation in an expeditious manner and receives, reads and sort all incoming mail, redirecting when necessary to proper departments.
- Attends, assists, and adjusts schedules in meetings and prepares agendas and minutes as required in a timely manner to minimize conflict in calendar, catering requests are sent through the proper process, ensures that the CEO, and CFO are kept current of changes in schedules and covers for the other Executive assistants as needed during times of absence.
- Organizes and maintains all files for the CEO, and CFO as well as files for the maintenance of the Administrative office.
- Prepares/submits expense reports in a timely manner for the CEO, and CFO and oversee organization of flow/supplies for the Administration office.
Qualifications
- High School diploma, GED, or equivalent certificate.
