Hours:
To provide comprehensive secretarial and administrative services to Medical Director, physicians, management and staff of Invasive and Non-invasive Labs. Attend meetings, take minutes and transcribes same. Performs timely and accurate transcription of all reports of the non-invasive lab, billing information for physicians’ reference. Daily analysis of charges and add/delete proper orders to fulfill charges. Organize and maintain files relative to the lab along with smooth flow of communication between all involved in the lab. Acts as a backup for the non-invasive lab in clerical capacity, as needed. Access to demographic information and limited Patient Health Information related to job function.
Responsibilities
Department Specific Duties
- Understands the established priorities for transcribing reports; correctly transcribing reports (grosses and finals) and distributing them to the appropriate pathologist.
- Verifies that information from the requisitions were entered correctly; edits patient demographics accordingly.
- Correctly distributes final pathology reports; determining when surgical reports are complete and can be given out.
- Is able to look up and print individual pathology reports.
- Ability to perform duties efficiently, with minimal assistance and minimal errors; completing assignments with minimal supervision and/or assistance from others.
- Recognizes, investigates and resolves discrepancies.
- Troubleshoots problems or knows when to contact the appropriate person if necessary.
- Productivity remains constant under pressure.
- Uses available time productively, contributing to department needs and/or cross training.
- Suggests and supports the implementation of improvements.
- Flexibility to assist other areas if necessary or requested.
- Correlates physiological and psychological differences created by age, sex, and abilities to appropriate components of client, and co-worker interactions.
- Consistently answers telephones by third ring, demonstrates good judgment in screening and/or routing calls; obtaining accurate telephone messages.
- Receives pathology clients, ascertains needs and directs guests appropriately.
- Sorts and delivers mail appropriately.
- Processes supply requests accurately and processes them according to hospital policy.
- Reports to work as scheduled, in accordance with hospital policy, and takes responsibility to prevent absences and tardiness.
- Demonstrates a consistently well-organized approach to all activities.
- Complies with hospital policy regarding breaks and lunch periods.
- Follows established hospital procedures for clients and/or patient requests.
- Practices appropriate safety and infection control procedures.
- Maintains clean and safe work areas.
- Reports safety hazards to appropriate personnel immediately
- Interacts with risk management regarding legal cases
- Is responsible for oversite of the office workflow
- Is responsible and participates in the lab quality management program
- Is responsible for updating the office procedure manual to maintain compliance
- Participates and assists the Director during a CAP inspection
Qualifications
Required:
- High school diploma or equivalent
- Two (2) years advanced business education. Proficiency in word processing, business machines and English grammar. Typing skills of 65 wpm. Knowledge of medical terminology, medical transcription, and basic accounting skills necessary
