General Summary: Provides administrative and clerical support to the Chief Executive Officer of the Entity. Assists the management and Human Resource staff by ordering office, business, and equipment supplies. Writes and distributes meeting minutes, receives and distributes mail and routes phone calls as appropriate. Requires the ability to work with a high degree of independence, organize several projects simultaneously and successfully meet deadlines. Coordinates administrative office functions and procedures. Greets and directs visitors / employees arriving in the Office. Performs secretarial and administrative duties.

Essential Job Responsibilities:
- Manages activities of the designated staff including: receiving / reviewing all incoming communications and initiating the appropriate follow-up.
- Ensures that the Chief Executive Officer is adequately and appropriately prepared to carry on his/her responsibilities at all times, which may include completion of special projects, obtaining and compiling complex information from a variety of sources, and preparing reports.
- Provides support for assigned meetings (e.g. Executive Team / Leadership Team), including agenda preparation, recording and distributing minutes, and tracking progress with follow-up assignments.
- Coordinates CEO appointment schedule including meeting preparation and travel arrangements.
- Coordinates special events, which may include extensive planning, facilitating registration, ticket distribution, etc.
- Prepares documents, graphs, charts, and presentations.
- Provides administrative support to the Chief Executive Officer, which includes letter composition, shorthand, transcription, and the handling of both sensitive and confidential materials.
- Receives and handles as appropriate concerns/complaints from staff, patients, families, and physicians.
- Manages communication processes to include faxes, mail, voicemail, e-mail and correspondence.
- May maintain files and records relating to hospital administration, licensure, and accreditation.
- May coordinate the AzDHS licensure application process for all hospital related licenses.
- May serve as liaison between Chief Executive Officer and Board of Trustees.
- Other related job tasks or responsibilities as assigned.
Qualifications
Education: High School Diploma or equivalent GED. Associate’s degree preferred.
Experience:
Five years experience as an Executive Assistant. Previous hospital or physician’s office experience helpful.
Healthcare experience.
