Position Summary:

Prepares, scans, indexes medical records to ensure that records are available as soon after discharge. Ensures that records are scanned as accurately as possible for accessibility. Assist with ROI requests and answers front desk phone as well as routes calls as necessary.

Position Accountabilities:

The following are essential job accountabilities:

  1. Runs all discharge reports on a daily basis from the previous day discharges.
  2. Pick up discharged patient charts from units daily.
  3. Prepares Inpatient, Outpatient Surgery, Outpatient Clinic(s), ER, and loose material for scanning.
  4. Scans Inpatient and Outpatient Surgery, Outpatient Clinic(s), ER, and loose material into the system.
  5. Indexes Inpatient and Outpatient Surgery, Outpatient Clinic, ER, and loose material

into correct document type for access.

  1. Assist with ROI requests and answer front office phone calls
  2. Place helpdesk ticket when necessary and troubleshoot with support team for any issues with scanning application and/or HPF.
  3. Inform Management regarding any missing discharged patient charts from previous day.
  4. Prep/Scan/Index Therapy and Cardiac Rehab accounts on a monthly basis
  5. Merge duplicate medical record numbers as needed
  6. Manage chart destruction as per facility policy
  7. Download and scan donor charts
  8. Keep scanning machine and workstation clean and organized.

  7. Must have good rapport with peers, physicians, visitors, nursing personnel and other in-house departments.
  8. Must be able to work consistently and effectively in complex situations.
  9. Must be able to use good judgment in releasing information during the hours when there is no supervision.
  10. All other duties as assigned.

Position Qualifications:

Minimum Education:

High school graduate

Minimum Experience/Skills:

Basic medical terminology desirable

One (1) year experience in an acute care HIM environment preferred

Computer skills – Microsoft Word, Excel and Adobe PDF

Pay Range: $23.90 - $37.04 hourly **Individual wages are determined based upon a number of factors including, but not limited to, an individual’s qualifications and experience
